Privacy Policy

This Privacy Policy explains how RoadTripDesk handles personal information when you create an account, plan trips, use paid features, contact support or use partner features.
Information we process
We process information you provide, such as your name, email address, country, account preferences, trip names, routes, stops, notes, shared-trip permissions, plan/subscription information, consent records, support messages and feedback.
Billing and tax information
When paid plans are available, billing and payment providers may process payment details, billing country, tax information, transaction status and related identifiers. RoadTripDesk does not need to store full payment-card details when payment is handled by an external payment provider.
Technical and security information
For login security, troubleshooting, abuse prevention and service reliability, RoadTripDesk may process IP address, browser/user-agent, login and security events, application error references, timestamps and limited request metadata. Technical error details are restricted to administrators and are not shown to other users.
Maps, routing and accommodation
When you use maps, route calculation, address search or hotel features, RoadTripDesk may send coordinates, search terms, route points or other information needed to provide that function to mapping, routing, geocoding and accommodation providers. We aim to send only what is necessary for the requested feature and prefer RoadTripDesk's own cached/local accommodation data before requesting fresh external results where the feature supports that.
Current service integrations
The services below are currently configured or supported by RoadTripDesk. Not every service is contacted on every request; some are only used when the relevant feature is enabled or selected.
- Microsoft Azure — Application hosting and PostgreSQL infrastructure.
- OpenStreetMap / Nominatim — Classic map tiles and address/geocoding functions when enabled.
- OSRM routing services — Road-route calculation.
- OpenStreetMap Overpass services — Fallback accommodation/POI discovery when local RoadTripDesk data is not sufficient.
- TradeTracker / accommodation partners — Accommodation feed data and affiliate booking links.
- Mapbox — Map tiles/styles when selected and temporary lodging search fallback when enabled.
- Configured email service (smtp.simply.com) — Transactional account and service emails.
Affiliate links
Some hotel and travel links are affiliate links. RoadTripDesk records limited click information such as the provider, item name, trip reference and timestamp so affiliate features can operate and be measured. The external partner may process information under its own privacy policy after you leave RoadTripDesk.
Cookies and browser storage
RoadTripDesk uses a necessary first-party session cookie for sign-in and security. Interface preferences that can be stored with the account are kept server-side rather than in optional browser tracking storage. RoadTripDesk does not currently enable optional analytics or marketing trackers in the application. See the Cookie Policy for details.
Retention and deletion
Account, trip and operational information is retained for as long as needed to provide the service, meet legal/accounting obligations, protect the service and apply configured retention rules. Account deletion tools include a recovery period before permanent deletion where applicable.
Your choices and rights
You can update account information and optional newsletter consent from your account. Depending on applicable law, you may also have rights to access, correct, delete, restrict or receive certain personal information. Contact info@roadtripdesk.com for privacy requests.
International providers
RoadTripDesk is designed for worldwide trip planning, so some service providers may process data outside your country. Where required, appropriate legal safeguards should be used for international transfers.
